We implement industry-standard security measures to protect your data:

• ›Audit Logging: Full audit trail of all data access and system operations

Intelligent One operates as a Business Associate under HIPAA. We enter into Business Associate Agreements (BAAs) with healthcare practices that use our products. We do not use Protected Health Information (PHI) for marketing, advertising, or any purpose unrelated to the services we provide. PHI is never sold to third parties.

We use the following third-party services to deliver our products:

• ›Microsoft Azure — Cloud hosting, AI services, database, and storage
• ›Azure OpenAI Service — AI model inference (data is not used to train models)
• ›DocuSign — Electronic signature for authorization documents

All third-party providers are bound by their own privacy policies and, where applicable, BAAs with Intelligent One.

Clinical data processed in real time is not retained beyond the active session unless the practice configures persistent storage. Account and practice information is retained for the duration of the service agreement. Upon termination, all data is deleted within 30 days unless retention is required by law.

You have the right to:

The IntelligentNote Chrome extension requests only the permissions necessary for its functionality:

• ›Active Tab: To interact with the EMR page when you activate the extension
• ›Storage: To save your preferences and template selections locally
• ›Network: To communicate with Intelligent One servers for AI-powered note generation

The extension does not access browsing history, read data from websites other than your EMR, or run in the background when not actively in use.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date. Your continued use of our products after changes are posted constitutes acceptance of the updated policy.
